MEETOPS PRIVACY STATEMENT

This Privacy Statement describes the personal data we collect and/or process (which may include collecting, organizing, structuring, storing, using, or disclosing) to provide products and services offered directly by MeetOps, operated by Launchpad Technologies Pty Ltd (ACN: 685218660), including our meeting analytics services ("MeetOps products and services" or "products and services").

What Personal Data Do We Receive?

Personal data is any information from or about an identified or identifiable person, including information that MeetOps can associate with an individual person. We may collect, or process on behalf of our customers, the following categories of personal data when you use or interact with MeetOps products and services:

Account Information: Information associated with a MeetOps account, which may include email address for account creation, authentication, and communications.

Meeting Information: Information about meetings processed through our service, including:

  • Meeting transcripts collected through our transcription services
  • Participant names to properly attribute speakers in transcripts and analytics
  • Meeting duration and time for analytics purposes

Authentication Data: Authentication tokens used to verify meeting access through integration with your meeting provider (such as Zoom).

Usage Information: Information about how people and their devices interact with MeetOps products and services, including:

  • User interactions with our application
  • Feature usage statistics
  • Session information (duration, frequency)

Content and Context from Meetings: Content generated in meetings that are hosted or analyzed through MeetOps products and services, which may include audio, video, and transcriptions. This Customer Content may contain your voice and image, depending on the account settings, what you choose to share, and what you do within meetings.

How Do We Use Personal Data?

We use the information we collect for the following business and commercial purposes:

To Provide the Services: Processing and analyzing meeting transcripts to generate insights and provide meeting analytics.

To Improve Our Services: Monitoring usage patterns and feature usage to enhance functionality and user experience.

To Communicate with You: Responding to your inquiries and support requests.

To Ensure Security: Protecting against unauthorized access and maintaining data security.

We do NOT use your information for:

  • Marketing purposes
  • Selling to third parties
  • Automated decision-making that produces legal or similarly significant effects

How Do We Share Personal Data?

MeetOps provides personal data to third parties only with consent or in one of the following circumstances:

Service Providers: MeetOps works with third-party service providers to provide, support, and improve MeetOps products and services. These service providers can access personal data subject to contractual and technical requirements for protecting personal data and prohibiting them from using personal data for any purpose other than to provide services to MeetOps or as required by law. Our service providers include:

  • Meeting participation services
  • Transcription services
  • Cloud storage providers
  • Analytics providers

For Legal Reasons: MeetOps may share personal data as needed to: (1) comply with applicable law or respond to valid legal process; (2) enforce or investigate potential violations of its Terms of Service or policies; (3) detect, prevent, or investigate potential fraud, abuse, or safety and security concerns; (4) protect our and our customers' rights and property; and (5) resolve disputes and enforce agreements.

Who Can See and Process My Personal Data When I Join Meetings?

When using MeetOps services, other people and organizations, including third parties outside the meeting, may be able to see content and information that you share:

Account Owner: An account owner is the organization or individual that signs up for a MeetOps account. Depending on their settings, account owners and the users they designate can access personal data for participants who join meetings analyzed through their account.

Account owners may have access to:

  • Account usage metrics
  • Meeting participant information
  • Meeting transcripts and analytics
  • Other meeting content processed by MeetOps

Meeting Hosts and Participants: Meeting hosts and participants may be able to see your display name and other profile information visible through the meeting platform being used.

Data Storage and Security

All collected data is stored in the United States. We implement appropriate technical and organizational security measures to protect your personal information, including:

  • Secure authentication systems
  • Access controls
  • Industry-standard security protocols
  • Regular security reviews

Data Retention

We retain your information as follows:

  • Account information: Until account deletion is requested
  • Meeting data and analytics: Indefinitely until deletion is requested
  • Product analytics: Raw data for 6 months; aggregated data for 24 months

  • Access the personal information we have about you
  • Request correction of your personal information
  • Request deletion of your personal information
  • Request a copy of your personal information

Children

MeetOps does not allow children under the age of 16 to sign up for a MeetOps account. Our services are not directed to individuals under 16 years of age, and we do not knowingly collect personal information from children.

Changes to This Privacy Statement

We may update this Privacy Statement from time to time. The updated version will be indicated by the "Effective" date at the top of this Privacy Statement. We will notify you of any changes through in-app notifications.

Cookies and Tracking Technologies

MeetOps uses cookies and similar tracking technologies on our website and application for analytics purposes. These technologies collect information about how you interact with our service, which helps us improve user experience and optimize our platform. We also use a service worker to maintain your connection to our service. All data collection adheres to applicable privacy regulations, and you can manage your preferences through our cookie consent settings.

International Data Transfers

MeetOps operates globally, which means personal data may be transferred, stored, and processed outside of the country or region where it was initially collected. By using MeetOps products and services, you acknowledge that your personal data may be transferred to and stored in the United States.

In the event of a data breach that affects your personal information, we will notify you via email and through in-app notifications without undue delay. The notification will include information about the nature of the breach, the information affected, and steps you can take to mitigate potential negative effects.

Account Deletion Process

To request account deletion, please send an email to support@meet-ops.com. Upon verification of your identity, we will proceed with deleting your account and associated data in accordance with our retention policies.

European Data Protection Information

If you are in the European Economic Area (EEA), Switzerland, or the UK, you have additional rights in relation to your personal data:

  • Right of access and/or portability: You have the right to access any personal data that we hold about you and, in some circumstances, have that data provided to you so that you can provide or "port" that data to another provider;

Appeal Process

If we decline to process your privacy request, you have the right to appeal our decision.
